IHIS TRAINING UPDATE OFFERED AS ‘GO-LIVE’ DATE DRAWS NEAR
Ohio State’s Integrated Healthcare Information System (IHIS), a single, integrated and personalized health record that will be used across the continuum of a patient’s interaction with the Medical Center, will go live on Oct. 15. The following are training class updates and information on eLearnings, course listings, materials and more that were highlighted in recent IHIS newsletters:
Prepare for Your IHIS Classes • Know the time and location of your classes. Include any extra drive, parking and walking time. IHIS class location maps are available. • Do not miss a scheduled class. All no-shows and non-attendees are being reported daily to leadership. • Review any appropriate eLearnings. Not all classes have recommended eLearnings. Consult the IHIS Course Catalog for a complete listing. • Confirm your schedule and class locations with your manager and by referencing the CBL/Class Registration system. • If you’re not familiar with using a computer, review the PC Basics eLearning available on the eLearning Materials page located in the Classroom Materials area. Complete eLearnings Prior to IHIS Classes eLearnings are brief computer training modules that will prepare you for the topics and concepts learned in IHIS classes. It is your responsibility to review eLearnings PRIOR to each class. This is an important step in ensuring you have a successful and productive classroom experience. To find the specific eLearnings for each of your classes, visit the Classroom Materials page from the IHIS home page on OneSource. Once track and class are selected, the recommended eLearnings will display. Click on each eLearning to begin. Please note: Not all classes have eLearnings associated with them. Questions? Restricted Changes to Class Schedules IHIS training lasts only eight weeks, and almost every minute of that time is scheduled to train the more than 14,000 end users who will use the system. Only managers can work with the Training Command Center to request critical need changes. However, schedule change opportunities are at a bare minimum and may not be accommodated. Classroom and eLearning Materials Available Online End users will receive a lot of documents in their training classes. The IHIS Classroom Materials page has been created to house all those documents for future reference. To search for documents, select your track from the drop-down list and then select the appropriate class. All materials associated with that class (if available) will be viewable. As classes progress, more materials will be added. IHIS Playground – Practice, Practice, Practice Been to training and want to exercise your new skills? The IHIS playground allows you to experience IHIS in a virtual environment. The playground will help you practice in IHIS and get used to the new screens and workflows. To access: 1. Follow this link to the IHIS Playground 2. At the Login box, type ihisplay (lowercase) for the user name as well as the password and click Log In. 3. Click the Epic 2010 yellow folder, then click the IHIS Play icon. 4. At the IHIS Login screen, enter the login IDs and passwords from the training tent cards provided in class. Use the patients listed on the tent cards.
IHIS Playground – A Practice a Day May Bring an Apple Your Way From Sept. 27 until Oct. 6, all IHIS-trained staff members can enter to win one of five iPads or five iPod touch devices. To enter, participants will need to correctly answer 10 questions related to their role. The answers are directly related to practicing in the playground. Click here for details about the IHIS playground contest. To access the playground, follow the instructions shown above. At this time, the playground can only be accessed from home using a Secure ID. Test Passage Required Staff members participating in IHIS training are required to complete all courses and pass the test assigned for their designated training track by the Medical Center’s “Go Live” on Oct. 15. Those who fail to complete their training or pass their assigned test will not be able do their job and may not be able to work in their home department. They will be required to participate in a remediation that may last up to two weeks. For those who still can’t pass the test and gain access to the system, Employee Relations will work with their manager in the corrective-action process.
Red is the Color of Support During Big Bang Go Live and beyond, more than 600 staff members will be deployed as Super Users. Super Users will be easily identifiable in their red IHIS support scrub jackets. Super Users in operating rooms will be identifiable by red IHIS support scrub caps. Super Users will be your first source of support with questions about IHIS at Go Live. There will also be dedicated physician support Super Users. More details will be provided as the Go-Live date approaches. High Level Go Live Timeline Available Hour-by-hour details for the transition to IHIS are being finalized and will be communicated to all staff soon. Patient/Visitors During Big Bang Go Live A team from Marketing and Strategic Communications is working on tactics to communicate the implementation of IHIS to patients and visitors who will be in the hospital on the weekend of Oct. 15. Communications are also being developed for patients arriving on and after Monday, Oct. 17, to prepare them for delays and changes. Service-recovery plans have been developed to maintain quality service to patients and their visitors during the implementation. |
